Request or cancel organisation deletion

Request deletion of the whole organisation with a 30-day cancellation window, follow the schedule and reminders, and cancel the request if the organisation should stay.

Request deletion of the whole organisation with a 30-day cancellation window, follow the schedule and reminders, and cancel the request if the organisation should stay.

Account Deletion permanently deletes your organisation from ComplyTrain, with all its documents, users, settings and audit logs. A request is not carried out at once. It is scheduled 30 days ahead, and you can cancel it at any time until then.

Who can request deletion

Product location: /settings/account-deletion. Open Account Deletion in Settings.

Only organisation Admins can request, follow or cancel an organisation deletion. Account Deletion does not appear in the Settings navigation for other users.

Deletion is not the same as other ways of leaving:

You want to

Use

Stop one person from signing in

Disable the user; see Invite and manage users.

Stop paying at the end of the billing period and keep your data

Cancel Subscription; see Manage your subscription and plan.

Close the organisation and delete everything

Request Account Deletion, as described here.

A deletion request does not change your subscription. Review your billing commitments separately.

Prepare before you request

Product location: /settings/account-deletion. Open Account Deletion in Settings.

When no request exists, the page shows No Pending Deletion Request and a Before you delete: checklist:

  • Export all your data for your records, with Go to Data Export. Download the finished export before the deletion date; see Export your organisation's data.

  • Notify your team members about the upcoming change.

  • Review any active subscriptions or billing commitments.

Deleted data cannot be recovered, so complete the export and check the file first.

Request deletion

Product location: /settings/account-deletion. Open Account Deletion in Settings.

  1. In Settings, open Account Deletion.

  2. Select Request Account Deletion.

  3. In Request Account Deletion, type your organisation's name, exactly as shown in the dialog, into Confirmation Phrase.

  4. Optionally, choose a Reason for leaving (optional) and write Additional feedback (optional).

  5. Tick the acknowledgements. The second one is required.

  6. Select Request Deletion.

  7. Read Confirm Account Deletion Request, which names the organisation and states that it will be deleted in 30 days, and select Yes, Request Deletion. Cancel returns you to the form.

Field

What to enter

Rules

Confirmation Phrase

The organisation name shown above the field.

Required. Capitals and spaces at either end are ignored. The field turns green when the name matches; otherwise Name doesn't match. Please type exactly: shows the name again.

Reason for leaving (optional)

Too expensive, Missing features we need, Switching to another provider, No longer need the service, Technical issues or bugs, Poor customer support, Business is closing, Data privacy concerns or Other reason.

Optional.

Additional feedback (optional)

Anything you want ComplyTrain to know.

Optional. Up to 2,000 characters.

I have exported my data or don't need it

Confirms that you have your export, or do not need one.

Optional.

I understand that after 30 days, all data will be permanently deleted and cannot be recovered

Confirms the consequence.

Required.

Request Deletion stays unavailable until the name matches and the required acknowledgement is ticked. Deletion Request Submitted then confirms the scheduled date and the number of days you have to cancel and export. An organisation can have only one active deletion request at a time.

Follow the deletion schedule

Product location: /settings/account-deletion. Open Account Deletion in Settings.

While a request is active, the page shows Deletion Scheduled.

Item

What it shows

Status

Pending until the scheduled date, then Processing while the deletion runs.

Scheduled Date

The day the deletion takes place: 30 days after the request.

Days Remaining

Days left before the scheduled date.

Reason

The reason chosen in the request, if any.

Reminder email sent

Appears once the reminder has been sent.

Final warning sent

Appears once the final warning has been sent.

The schedule runs as follows:

When

What happens

Request day

The request is recorded as Pending with its Scheduled Date.

14 days before

A reminder email goes to the Admin who made the request.

7 days before

The page adds a warning in red: Only … days remaining! After this, your account will be permanently deleted.

3 days before

A final warning email goes to the Admin who made the request.

Scheduled date

The deletion starts and the status changes to Processing. From then on the request can no longer be cancelled. The organisation's documents, users, settings and audit logs are permanently deleted.

For example, a request made on 1 October 2026 is scheduled for 31 October 2026. The reminder is sent on 17 October and the final warning on 28 October.

Below the schedule, Export Your Data links to Go to Data Export. Exports expire 7 days after completion, so request and download your final export in the last week before the scheduled date.

Cancel a deletion request

Product location: /settings/account-deletion. Open Account Deletion in Settings.

  1. Open Account Deletion.

  2. In Deletion Scheduled, select Cancel Deletion Request.

  3. In Cancel Deletion Request?, select Yes, Keep My Account, or No, Continue with Deletion to leave the request in place.

Deletion Cancelled confirms the change, and the page returns to No Pending Deletion Request. The organisation stays active and nothing is deleted. If you later decide to close the organisation after all, request deletion again; a new 30-day schedule starts. You can cancel while the status is Pending, up to the scheduled date. Once the status is Processing, the deletion can no longer be stopped.
