Create and prepare the session

Product location: /planner/{planId}/workshops (fallback: /planner)

Open the project's Workshops and add a session or copy an available template. A copied template becomes part of this project; later template changes do not update the session automatically.

Set the purpose, facilitator, agenda and required roles. Assign people to roles on the project's stakeholder map and add named guests where appropriate. Missing required roles appear as gaps.

Schedule preparation

Product location: /planner/{planId}/workshops (fallback: /planner)

Set the invitation and pre-read lead times. These create actual plan tasks with ownership and dates. A task existing on the plan is not proof that an invitation or pre-read has been delivered.

Add materials for pre-reading or use during the session. These are links to the current product records, not snapshots of how those records looked when the workshop was planned. Inspect draft or broken material links before the session.

Use and close the workshop

Generate a workshop PowerPoint pack when useful and inspect the agenda, participants and outputs before presenting it. Speaker notes are separate from the text intended for the room.

Record decisions and create the follow-up task so the outcome has an owner. The recording field stores a link to a recording or transcript held elsewhere; it does not upload and retain the recording in ComplyTrain.
