Update your profile and password

Keep your name, contact details, time zone and preferred document language up to date, and change your password under your organisation's password policy.

My Profile holds your personal details and two personal preferences: your time zone and your preferred document language. Change Password sets a new password for your account. Everyone can use both pages, and they only ever change your own account.

Open your profile

Product location: /settings/my-account/profile. Select your name at the top of the page and choose My Profile. Or open My Account in Settings.

Select your name at the top of any page, then choose My Profile. You can also open Settings and choose My Account. The same menu under your name has Change Password, Two-Factor Authentication, Signing Credentials and Notification Preferences.

The top of My Profile shows your initials, your name and your email address. The badge beside the email shows Verified when your email address is confirmed, or Pending Verification when it is not.

Update your details

Product location: /settings/my-account/profile. Select your name at the top of the page and choose My Profile. Or open My Account in Settings.

  1. Change the fields you want in Personal Information, Work Information and Preferences.

  2. Choose Save Changes. The button becomes available after you change a field, and only when every value is within its limits.

  3. Wait for Profile Updated.

Cancel puts back the values that were last saved.

Field

First Name

Your given name. It is also saved to your sign-in account.

Cannot be empty. Up to 50 characters.

Last Name

Your family name. It is also saved to your sign-in account.

Cannot be empty. Up to 50 characters.

Email Address

The address you sign in with and receive email at.

Read-only: Email address cannot be changed.

Phone Number

A contact number for your colleagues.

Up to 20 characters: digits, spaces, +, - and brackets.

Job Title

Your role, for example Quality Manager.

Up to 100 characters.

Department

Your team, for example Quality Assurance.

Up to 100 characters.

Timezone

The time zone ComplyTrain shows dates and times in for you.

One of the listed zones, or Select a timezone to use the organisation's default.

Preferred document language

The language you prefer to read documents in. Documents offers an approved translation in it.

One of the listed languages, or Select language for none.

Administrators see the job title and department you save here on your user details in User Management.

Account Information is read-only. Member Since is the date your account was created, and Last Login is when you last signed in.

Choose your time zone

The Timezone list offers UTC, London (GMT/BST), Paris (CET/CEST), Berlin (CET/CEST), Copenhagen (CET/CEST), Stockholm (CET/CEST), New York (EST/EDT), Chicago (CST/CDT), Los Angeles (PST/PDT), Tokyo (JST), Shanghai (CST) and Sydney (AEST/AEDT).

Your time zone overrides the organisation's default time zone for you alone. Every date and time ComplyTrain shows you, for example due dates, history entries and the time a document was signed, is converted to your zone. Other people keep seeing their own zone or the organisation default. The date format stays the one your organisation chose in Date & Time; see dates and time zones.

The new time zone applies from the next time ComplyTrain loads, for example after you refresh the page or sign in again. Choose Select a timezone and save to go back to the organisation's default.

Document and display language

Preferred document language records the language you prefer to read documents in. It offers English (US), English (UK), Dansk (Danmark), Deutsch (Deutschland), Español (España), Suomi (Suomi), Français (France), Polski (Polska), Svenska (Sverige) and Ukrainian (Ukraine), each shown in its own language.

When you open a document in Documents that has an approved translation in your preferred language, and the document itself is in another language, the document page offers View in that language. Dismiss hides the suggestion for that document. See document translations. When no language is chosen here, ComplyTrain uses your display language instead.

Preferred document language does not change the language of menus, labels and messages; the hint under the field points to the header for that. To change the display language, open the language selector at the top of the page, next to your name, and choose English, Dansk, Deutsch, Español, Suomi, Français, Polski, Svenska or Ukrainian, each shown in its own language. The display language changes at once and is remembered in that browser. The AI assistant also answers you in the display language you choose there.

Change your password

Product location: /settings/my-account/change-password. Select your name at the top of the page and choose Change Password. Or open My Account, then Change Password, in Settings.

  1. Select your name, then choose Change Password. You can also open Settings, My Account, Change Password.

  2. Enter your Current Password.

  3. Enter a New Password. The requirements list below the field shows your organisation's password policy, and each requirement is ticked when your new password meets it. The strength bar grades the password from Weak through Fair and Good to Strong.

  4. Enter the same password again in Confirm New Password.

  5. Choose Change Password and wait for Password Changed.

Use the eye button in each field to show or hide what you typed.

The new password must meet the minimum length and the required character types that an Admin set in organisation security.

Different password

The new password must differ from your current one.

Matching confirmation

Passwords do not match appears until both entries are the same.

Correct current password

Current password is incorrect. appears if the current password is wrong, and nothing changes.

The new password applies the next time you sign in with a password. ComplyTrain also sends you a Password Changed security notification. It is a mandatory notification, so you receive it whatever your notification preferences. If you did not make the change yourself, tell your administrator at once.

If you sign in with single sign-on, your password belongs to your organisation's identity provider. Change it there, not in ComplyTrain.

Example: moving to another site

Product location: /settings/my-account/profile. Select your name at the top of the page and choose My Profile. Or open My Account in Settings.

Suppose Anna, a quality engineer, moves from the Copenhagen office to the New York site and becomes quality manager there. She opens My Profile and changes Job Title to Quality Manager, Department to Quality Assurance US and Timezone to New York (EST/EDT). She keeps Preferred document language on Dansk (Danmark), because she still prefers to read procedures in Danish. Then she chooses Save Changes and refreshes the page.

Due dates and history times now appear in New York time for her, while her Copenhagen colleagues still see Copenhagen time. When she opens an English procedure that has an approved Danish translation, the document page offers to show it in Danish. Her administrator sees the new job title and department in User Management.
