Use the notification bell and the full notification list, and set for each notification type whether you receive it in the app, by email at once or in a daily or weekly digest, or not at all.
ComplyTrain notifies you when something needs your attention, for example a task assigned to you, a document waiting for approval, a CAPA that has escalated or a change to your password. Everyone has their own notifications and their own preferences, and nobody else can read or change them.
An Admin sets the organisation's defaults for every notification type in Notification Defaults. Your preferences start from those defaults, and you can change them for yourself; see organisation notification defaults.
Product location: /settings/notifications. Select the bell at the top of the page and choose View all notifications. Or open Notifications, then All Notifications, in Settings.
The bell at the top of every page shows how many unread notifications you have, up to 99+. Select it to open Notifications with your five most recent notifications. New notifications appear there as they arrive.
Select a notification to mark it as read and open the page it refers to, such as the task or document.
Choose the tick button (Mark as read) on a notification to mark it as read without opening it.
Choose Mark all as read to clear the unread count.
Choose View all notifications to open the full list.

Choose View all notifications in the bell, or open Settings, Notifications, All Notifications. The header counts your notifications and how many are unread, for example 42 notifications (5 unread).
Each notification shows an icon and a badge for its category (Security, Billing, Workflow, System, User or Other), its title and message, and how long ago it arrived. Unread notifications are in bold with a dot.

Choose Show unread only to list only unread notifications. The button then reads Showing unread; choose it again to see everything.
Choose the tick button (Mark as read) on a notification, or select the notification itself, to mark it as read.
Choose Mark all as read to mark every notification as read. The button appears only while you have unread notifications.
Choose Load more at the bottom to show the next 20. You've reached the end means there are no more.
When nothing is unread, the list shows You're all caught up! All notifications have been read. Choose View all notifications to go back to the full list.
Marking a notification as read does not complete the task or approval it is about. Open the item itself to do the work.

Your Customizations tells you how many notification types you have changed from the organisation's defaults. Below it, the types are grouped by category: Security, Billing, Workflow, System, User and Other. Each category shows how many types it contains. Select a category to collapse or expand it, or use Expand All and Collapse All.

Each notification type shows its name, a description and a switch. Its badges tell you where its settings come from:

When the switch is on, you choose how the notification reaches you:

Digest | Appears when Email is on and sets when this type's emails are sent. Immediate sends each email at once. Daily Digest or Weekly Digest collects them into one digest email per day or per week instead of sending them one by one. |
The digest affects only email. With In-App on, each notification still appears in the bell and in All Notifications as soon as it arrives.
To save:
Change the types you want. Each one shows Unsaved.
Choose Save Changes. The button shows how many types you changed.
Wait for Preferences Saved. The types you changed now show Customized.
Cancel discards all unsaved changes.

A type marked Mandatory cannot be switched off, because it concerns your account's security, billing, service availability or your organisation's data. Examples include Password Changed, Password Reset, Payment Failed, Invoice Ready, System Maintenance and the notices about organisation data export and deletion.
If an Admin has turned a type off for the whole organisation in Notification Defaults, you cannot turn it on for yourself. Ask an Admin if you need it.
Product location: /settings/notifications/preferences. Open Notifications, then My Preferences, in Settings. Choose Reset on the customised type, then Save Changes.
Reset (Reset to organization default) appears on a type that you have customised or changed.
Choose Reset on the type. It shows Unsaved.
Choose Save Changes.
Your personal choice for that type is removed. The type shows (default) again, uses the organisation's current default settings and follows any later changes an Admin makes to them.

Suppose Jonas is a quality manager who owns most of his company's CAPAs. When a CAPA passes its time limit and its severity is escalated automatically, he wants an email straight away. Every other notification he wants by email only once a day, in a single digest.
He opens My Notification Preferences and chooses Expand All.
On CAPA Escalated in Workflow, he checks that the switch is on, turns Email on and chooses Immediate in Digest. He leaves In-App on so the escalation also appears in the bell.
On every other type that has Email on, including CAPA Assigned, CAPA Status Changed, Task Assigned and Document Approval Request, he chooses Daily Digest in Digest. Mandatory types such as Password Changed stay switched on, but he can still set their Digest.
He chooses Save Changes and waits for Preferences Saved. The types he changed now show Customized.
An escalation now reaches Jonas's inbox as soon as it happens. The emails for everything else arrive together once a day. With In-App on, all of them still appear in the bell as they happen, so nothing waits for the digest inside ComplyTrain.
If Jonas later wants the organisation's settings back for a type, he chooses Reset on it and saves. QMS also has its own digest settings for QMS events; see QMS notification preferences. The severity timings that trigger a CAPA escalation are shown in CAPA settings.
