Use the product register, product pages, the obsolescence register and profiles, see who can do what, how records move between states, and where Products connects to the rest of ComplyTrain.
Products is your organisation's register of what it makes or supplies. Each product has one or more versions, and each version carries its own specifications, identifiers, parts list, test results, export position and lifecycle state. Markets and claims are listed for the whole product: each market placement belongs to one version, and a claim can be limited to one.
When Products is enabled for your organisation, Products appears in the main menu for everyone who holds View Products.
Product location: /products. Open Products in the main menu.
Open Products in the main menu. The module has three pages in its navigation:
Navigation entry | Page | What it shows |
|---|---|---|
Product register | Product register | Every product, system and configuration your organisation makes or supplies. Start here to find a product or record a new one. |
Obsolescence | Obsolescence register | Parts going out of production across every product, soonest first, with their last-buy dates and replacement plans. |
Profiles | Product profiles | The rules each kind of product follows: levels, lifecycle, identifier schemes, standards and export-control regimes. |
Choose a row in the register to open that product's page. New product on the register opens New Product, where you create a product by uploading documents, filling it in yourself or describing it to the assistant. See Add a product and manage its versions.
Product location: /products. Open Products in the main menu.
Narrow the register with these filters, then choose Apply. Clear appears when a filter is set and removes all of them.
Filter | What it does |
|---|---|
Search | Finds products by name, product number or an identifier value such as a part number. Partial words are fine. Press Enter or choose Apply. |
Profile | All profiles, or only products that use one active profile. |
Top-level products only | Hides products that have a parent product. |
Column | What it shows |
|---|---|
Number | The product number, assigned automatically when the product is created, for example PRD-2026-0007. Numbering restarts each year. |
Name | The product name. |
Profile | The product's profile, or a dash when it has none. |
In service | On 3 market(s) when the product is placed on markets; otherwise the label of the version in service, or None yet. |
Versions | How many versions the product has. |
Classification | The product's classification level, if it has one. |
Parent | The parent product, if any. |
The register shows 25 products a page, with Previous and Next and a line such as Showing 1–25 of 60. The register and its total include only products you are cleared to see.
The Found in your material panel above the table lists products the assistant found in your documents and website, waiting for someone to add or dismiss them. See Find products in your existing material.
Product location: /products/{productId}/overview (fallback: /products). Open Products and choose a product in the register.
The header shows the product name with its number, profile, level in the product hierarchy and classification, which carries a lock symbol. Below it you see the product's description, status, owner, regulatory contact and Parent product. Back to register returns to the register.
Versions lists the product's versions. Each version is one configuration of the product. Its badge shows its release status: Draft, In service, Superseded or Withdrawn. Choose a version to show it in the tabs; the page opens on the version in service, or on the newest version. New version adds a draft.
Tab | What it holds | Scope |
|---|---|---|
Overview | The version's release details, lifecycle state and identifiers, and the product's related products. | Selected version |
Specifications | Recorded specifications and readings the assistant made from documents. | Selected version |
Markets | Where the product is planned or placed, under which name, and the authorisations for each market. | All versions |
Bill of materials | Parts, suppliers, obsolescence and the change proposals a change has raised. | Selected version |
Qualification | Test results and coverage against the profile's test regimes. | Selected version |
Claims | Claims the organisation makes about the product. | Whole product; a claim can apply to one version |
Export control | Export determinations, licences and the export check. | Selected version |
Connected | What other modules hold about the product, its document vault, dossiers and links. | Selected version |
History | Every lifecycle move of the selected version. | Selected version |
Specifications, Bill of materials and Export control show a count of items waiting for review. On Overview, Needs your review links to proposed specifications, change proposals and versions without an export determination. A product with nothing recorded yet shows Getting this product on its feet, with shortcuts to Record what it is, Say where it is sold and Record what qualifies it.
A released version is locked: its label, identifiers and parts list can no longer change, and a notice above the tab content says so. You can still add results, approvals and findings to it. To change what a configuration is, create a new version.
Product location: /settings/roles. Open Roles & Permissions in Settings, then Roles.
Products permissions come from roles. An Admin adds them to roles in Settings, under Roles & Permissions, where they are listed under Product Library. See Create roles and choose their permissions. Buttons and forms appear only to people who can use them.
Permission | Code | What it allows | Quality Manager |
|---|---|---|---|
View Products |
| Open Products and read everything you are cleared to see. Run the export check, generate dossiers and evidence packs, read narratives and open the assistant's read-only conversations. Also needed to choose a product in Tenders and to run the product reports. | Yes |
Manage Products |
| Create products and versions. Edit a product's details and parent, delete draft versions and unused products, and give a profile to a product without one. Clone, edit and delete your own profiles. Record, accept and remove specifications. Add or dismiss discovered products. Record related products and connections, and create the product's vault. | Yes |
Change Product Lifecycle State |
| Release and withdraw versions and move them between lifecycle states, within any permission the profile sets for a move. Mark a product obsolete or reinstate it. Confirm or dismiss change proposals. | Yes |
Manage Markets and Authorizations |
| Plan, place, suspend and withdraw market placements, and record, edit and remove authorisations. | Yes |
Manage Testing and Qualification |
| Record, edit and remove test results and waivers. | Yes |
Manage Export Control Records |
| Propose, edit and discard export determinations. Record export licences and what they have been used for, and maintain the restricted-party list. | Yes |
Confirm Export Classification |
| Confirm a proposed export determination. This makes it operative and records you by name. | No |
Manage Product Claims |
| Write, edit and delete draft claims, and ask the assistant to propose claims. | Yes |
Approve Product Claims |
| Approve or reject draft claims and withdraw approved ones. You are recorded by name. | Yes |
Manage the Bill of Materials |
| Add, correct and remove parts on draft versions. | Yes |
Manage Component Obsolescence |
| Record end-of-life notices and replacement plans for parts, including on released versions. | Yes |
Manage Product Identifiers |
| Add and remove identifiers on draft versions. | Yes |
Admins pass every permission check and can always see every record, whatever its classification.
The Quality Manager system role includes every Products permission except Confirm Export Classification. Confirming a determination carries legal weight, so no role has that permission until an Admin adds it to a custom role and gives that role to your export-control officer.
Permissions decide what you may do. Clearance decides which classified records you may see at all, and it applies on top of permissions. See Classify products and grant clearances.
Product location: /products. Open Products in the main menu.
Record | States | How it moves |
|---|---|---|
Product | Active, obsolete, deleted | Mark a product obsolete with a reason, and reinstate it later. Delete it only while it has no released versions, market placements or child products. |
Version, release status | Draft, In service, Superseded, Withdrawn | Releasing a draft locks it. A later release can supersede it. Withdrawing needs a reason. Only a draft can be deleted: a confirmation lists the records that exist only on that draft, and they are deleted with it. Deleting is refused while a tender bids the draft. |
Version, lifecycle state | The states its profile defines, for example Draft, Released and Withdrawn | Only the moves the profile allows, some with a reason. A draft cannot move to a marketable state. Only a released version in a marketable state can be bid. |
Market placement | Planned, On the market, Suspended, Withdrawn | Place a planned market, suspend and re-place, withdraw with a reason. A withdrawal is final. |
Authorisation | Active, Suspended, Withdrawn, and Expired once its date has passed | Suspending or withdrawing needs a reason. |
Test result | Planned, In progress, Passed, Failed, Waived | A pass counts until its validity ends, then shows Expired. A waiver needs a reason. It counts as covered in qualification, but it never backs a claim. |
Claim | Draft, Approved, Rejected, Withdrawn | Only a draft can be approved or rejected. An approved claim leaves only by withdrawal with a reason. Editing an approved claim returns it to draft. An approved claim whose evidence has lapsed shows Cannot be asserted. |
Export determination | Proposed, then Controlled or Not controlled | A proposal is confirmed or discarded. A later confirmation replaces the earlier one. Review overdue marks a determination past its review date. |
Specification reading | Awaiting review, Accepted | Accepting records the value. Rejecting discards it. |
Discovered product | Awaiting review, added, dismissed | Adding creates the product. Dismissing needs a reason. |
Change proposal | Waiting for a decision, confirmed, dismissed | Addressed to the person responsible for the affected record in its module, where there is one. Dismissing needs a reason. |
Release status and lifecycle state are separate. Releasing locks what a version is. Its lifecycle state decides whether it can be offered commercially. A draft cannot move to a marketable state, so release a version before you move it to one. See Move versions through their lifecycle.
Product location: /products. Open Products in the main menu.
Module | What it uses from Products | Where you see it in Products |
|---|---|---|
Tenders | What this tender bids in a tender workspace names a product version and a market. Only a released version in a marketable lifecycle state can be bid, and only when the export check for a bid does not refuse it. Propose answers drafts answers from valid test passes, assertable claims and authorisations, each waiting for Accept or Reject. Qualifications that lapse before the contract ends are listed. Finding a product there needs View Products. | Bids appear on the Connected tab. Releasing or withdrawing a version, or marking the product obsolete, raises a change proposal for each bid that names it. |
Training | Courses that teach the product. | Linked on Connected. Releasing or withdrawing a version, or marking the product obsolete, can propose re-issuing a course. |
Stakeholders | Suppliers for parts and organisations linked to the product. Stakeholders can show which products depend on a supplier. | Supplier in the bill of materials; People and organisations on Connected. A change can propose telling linked organisations. |
Requirements | Requirements that apply to the product, or are excluded with a reason. | Linked on Connected. Releasing or withdrawing a version can propose re-assessing them. |
Media Monitoring | Market watches that follow the product. | Linked on Connected. Placing the product on a market that no watch covers proposes extending a watch. |
Documents | The product's own vault, where uploads from New Product, dossiers and evidence packs are filed. | Open vault on Connected. |
Reports | The Product Portfolio and Product Expiry reports. Both need View Products, and their rows leave out classified products. | Not applicable |
Notifications | Daily reminders about lapsing authorisations, qualifications and export licences, sent to the product's regulatory contact, or to its owner when it has none. | Not applicable |
Change proposals from every module wait for a decision under What this change affects on Bill of materials. Each one is addressed to the person responsible for the affected record in its module, where there is one. See Review what a change affects.
Reminders start 90 days before an authorisation expires, 180 days before a qualification lapses and 120 days before an export licence expires. They become high priority within 30 days and urgent once the date has passed. See Manage your notifications, and See everything connected to a product for the Connected tab.
Product location: /settings/roles. Open Roles & Permissions in Settings, then Roles.
Nordic Radio Systems wants its product managers to run the register, its test engineers to record results, and only its export-control officer and commercial director to sign off. Nobody should be able to approve their own claim.
Give the product managers the Quality Manager role, or a custom "Product manager" role with View Products, Manage Products, Change Product Lifecycle State, Manage Product Identifiers, Manage Markets and Authorizations and Manage Product Claims.
Create a "Test engineer" role with View Products, Manage Testing and Qualification, Manage the Bill of Materials and Manage Component Obsolescence.
Create an "Export-control officer" role with View Products, Manage Export Control Records and Confirm Export Classification.
Create a "Claim approver" role with View Products and Approve Product Claims, and give it to the commercial director only.
Check the result with one test engineer: they can record a test result on Qualification, but Approve does not appear on Claims.
A product manager can now draft a claim backed by the engineer's test result. Only the commercial director can approve it, and only then can Tenders use it in an answer.
